Event Guidelines

Thank you for your interest in fundraising for Farleigh Hospice!

Your fundraising helps…..

Farleigh Hospice to provide care to over 2,400 patients with life limiting illnesses every year in the Mid Essex area. 

We rely on support from the community and this guide is designed to help you have fun fundraising and also comply with certain rules and regulations that we, as a registered charity, have to meet.

The support we give to people with life limiting illnesses is varied and includes:

Specialist Homecare Nurses
Most of our work is in the community through our homecare nurses who provide specialist help and support to people to enable them to stay in their own homes when fighting life limiting illnesses.  This makes up 90% of our work.

Day Care
We have three day care centres – Farleigh in Chelmsford, Farleigh in Braintree and Farleigh at St Clare’s in Maldon.

The in-patient unit
We have a ten bedded in patient unit where patients come for respite, treatment or terminal care.  Most people only stay for a week.  60% of our patients return home.
 
All you need to organise a fundraising event is a good idea and lots of energy.  If you have friends and neighbours who can help then you can rope them in too!

Here are some guidelines that will help you organise fundraising activities for Farleigh Hospice.  We would ask that you understand and agree to the following if you are organising a fundraising event in aid of Farleigh Hospice…..

 We need to know what you are doing – please fill in the event information sheet and return to the Fundraising Office.
 We need to give you a letter of authority showing that you are fundraising on our behalf.
 All posters, tickets etc, must state that Farleigh Hospice is a registered charity & show the registered charity number.
 You need to keep clear accounts of any events - the details of the expenditure and the income received.  (We can supply you with a simple form to help you do this.)
 Money must be collected in sealed boxes or tins.
 Please would you not organise any of the following in our name – a lottery or any dangerous events
 Any activity needing a gaming licence needs to be discussed with the Fundraising Department
 Be safe – don’t do anything illegal or dangerous
 Farleigh Hospice is unable to underwrite any costs associated with the event – these would be your responsibility
Planning The Event
 Make sure that you are not clashing with any other events in your area. 
 Give yourself enough time to organise every aspect of the event, from promoting it to getting enough helpers on the day.
 Look at all aspects of the day and think about what could go wrong and how you would deal with it – do a risk assessment.  (Please see www.hse.gov.uk for any help with health and safety).
 Do you need any licences or permits to do your events e.g. an alcohol licence?  Please check this with your local authority.
 Remember to advertise your event - use the local newspapers (they are more likely to use your story than ours, because we send them so many press releases), local radio and any other contacts you may have
 Make sure that people helping on the day know exactly what they are doing at the event and that you have enough helpers.
 Do you need to inform the police?
 Do you need first aid?


Value for Money

 Make sure that your prices are fair
 If your prices are fair and people feel they are getting value for money, they are more likely to come to any future events

Be Realistic

 Don’t be over-ambitious.
 Ask other people you know who have done similar things before. Ask them what works and what doesn’t.

After the event

 Please send the money into Farleigh Hospice at the address at the end of this pack, marked for the Fundraising Department.
 Please remember to include your name and address so that we can thank you
 Please remember to thank everyone involved
 Please do e-mail/send us photos of the event so that we can put it in Farleigh News or use it for promotional purposes (with your consent)!
